ITS VACATION TIME, BUT DON’T WORRY – I WON’T LEAVE YOU ALONE
We are winding down from summer vacation time, when I’m sure, like me, most of you took some time off to relax and recharge your batteries… everyone needs to get away once in a while to relax.How did you handle your absence with your clients?
So, you’re away for a few days… and you didn’t engage the services of a colleague to take your calls while away (which in my opinion is a big mistake). I always want to provide great service to my clients whether I am away, or in town.
ARRANGE FOR COVERAGE IN YOUR ABSENCE
I always arrange with another agent to take my calls, when I am away. One very important thing we do is, sign a Vacation Agreement. This document clearly outlines what referral fees will be paid to the covering agent.. This eliminates any misunderstanding on any scenario that could arise.
While you are away for a few days one of your clients calls, texts or emails you. They don’t know you’re away because you didn’t tell them. They say they saw a property and would to see today as it looks perfect for them … and ask that you please book an appointment to see it.
WHAT DO YOU TELL THEM?
- You are away and tell them to call the listing agent and ask to see the property?
- Tell them you are away for a few days. Also tell them you have arranged to have an experienced colleague taking their calls. This agent will be available to assist them in your absence.
- Do you call one of your colleagues (the covering agent) and ask them to take your clients to see the property?
- Do you give the other agent (your covering agent) a referral fee if an offer is accepted?
- Or do you tell them you are away for a few days and will be back in two days, and you will show it to them when you return.
I always let my clients know I will be away for a few days, and in my absence I have entrusted their care to an experinced and knowledgable colleague who will be there for them for whatever they need.
One thing I would NEVER tell them to do is call the listing agent and waste that agent’s time. That is so very unprofessional, and inconsiderate of the other agent’s time, especially if your client has signed a Buyer contract with you.
TAKING A COLD CALL
But when I do get a cold call from someone I don’t know asking to see one my
listings, I take advantage of the opportunity if I can.
I always pre-qualify them on the phone and ask them if they are currently working with another agent. If they are, I ask them if they have a Buyer Representation Agreement in place. When a contract is in place with another agent, I then I tell them I cannot show them the property. I cannot interfere with that Agreement.
If they are not under contract with another agent, I continue and ask them if they have a mortgage pre-approval. It is important to know they have their financing in order. This information will tell me know exactly how much money they can afford to spend on their new home.
If they don’t have a BRA signed with another agent, I tell them I will make arrangements with my trusted colleague (my covering agent) to call them and make the necessary arrangements to show them the property as I am unavailable for a day or two.
Listing agents – do you due diligence when taking a cold call on one of your listings.. ask the necessary questions so you won’t be wasting your time!
But, please don’t ask YOUR clients who YOU have under contract to call me when you are away and waste my time!
